Privacy Policy — TecerTools Kehadiran Extension

01Introduction

TecerTools Kehadiran ("the extension") is a third-party Chrome browser extension that helps Malaysian teachers speed up attendance entry on MOEIS Kehadiran (moeispel.moe.gov.my). The extension is not an official MOE/KPM system and does not replace MOEIS.

This extension is part of the TecerTools service and follows the same PDPA framework as our main Privacy Policy.

02Summary

• The extension reads the MOEIS page the teacher has opened to identify the attendance fields that need to be filled.
• When the teacher clicks "Analisis", the pasted absence text is sent to a TecerTools server function (AI matching) to match student names and absence reasons.
• Before AI matching, the extension checks your account’s weekly usage limit on the TecerTools server; this check does not send student names.
• You can sign in with email and password, or with a Google account.
• We do not sell data, run ads, or use student data for marketing.

03Data accessed and processed

In the Free tab, the teacher pastes absence text from WhatsApp, Telegram, or another class source. This text may contain student names, absence reasons, categories, dates, or short notes written by the teacher.

When the teacher presses "Analisis", that text is sent to TecerTools’ server in Kulai, Johor, Malaysia, which forwards it to an AI provider for AI matching: OpenAI (United States) as the primary provider, and DeepSeek (China) only as a fallback when OpenAI is unavailable. The provider processes it outside Malaysia and may keep API requests for up to 30 days for abuse monitoring before deleting them. The purpose is only to match names and map reasons to the appropriate MOEIS category/reason before the teacher reviews the result.

• Student names and pasted reasons are used for automated matching.
• Matching results are shown back to the teacher for review before applying.
• Uncertain matches should not be silently applied; the teacher must review and decide.

04What data is stored

• chrome.storage.local stores cached sign-in state (TecerTools session token), email, display name, and extension settings on the teacher’s device.
• A one-time flag that shows a welcome message after a Google sign-in, deleted once the message is closed.
• Custom reason mappings, if used, are stored to speed up repeated use on the teacher’s device or account.
• Class records pulled through the Tecertools tab come from the teacher’s own tecertools.my account and are subject to the main TecerTools Privacy Policy.

05Permissions requested

• activeTab — to run automation on the active MOEIS tab when the teacher uses the extension.
• identity — to open the Google sign-in window when the teacher chooses "Log masuk dengan Google", and to receive the TecerTools sign-in code back afterwards. It does not give access to the teacher’s Google account, email, or files.
• storage — to store cached sign-in state, settings, and reason mappings.
• Host permissions include moeispel.moe.gov.my for MOEIS pages, plus the TecerTools server (supabase.tecertools.my) for sign-in, class/attendance import, and AI matching.

06Account sign-in

Signing in to a tecertools.my account is required for AI matching and the Tecertools import feature. Sign-in is handled by TecerTools’ own sign-in service in Kulai, Johor, Malaysia; your password is sent over HTTPS and stored there only as a hash, never in the extension.

If you choose to sign in with Google, you sign in to Google in Google’s own window; the extension never sees your Google password. Google shares your name, email address, and profile picture with TecerTools’ sign-in service. If you don’t have a TecerTools account yet, a free one is created with these details. The extension does not store a Google access token, and this sign-in is unrelated to the AI matching described above.

07Limited Use

• Data is used only to provide the extension functions described in this policy.
• Data is not transferred or sold to third parties for advertising, marketing, or unrelated purposes.
• Human access to data occurs only with your consent, for support you request, or where required by law.

08What we don’t do

• We do not sell or rent teacher data or student data.
• We do not use absence text to train marketing models or advertising profiles.
• We do not submit data to MOEIS independently; the extension fills fields on the teacher’s MOEIS page, and the teacher remains in control of MOEIS form submission.

09Data retention & deletion

• Local extension data remains on the device until the teacher signs out, clears storage, or removes the extension.
• TecerTools server logs for matching functions are retained according to service operations and security configuration, and are not used for marketing.
• Teachers may request deletion of their TecerTools account/data by contacting us.

10Children’s data

This extension is a professional tool for teachers. Student names are processed for the teacher’s official attendance workflow. Teachers and schools remain responsible for ensuring pasted absence text is used in line with school policy and applicable data protection law.

11Changes to this policy

If this policy changes, the "Last updated" date above will be revised. Material changes will be reflected here before they take effect.
